The Role

We are seeking two highly-skilled Event Producers to join our dynamic team at Fotografiska Berlin, the Contemporary Museum of Photography, Art amp; Culture. Reporting directly to the Director of Programming with a dotted line to the General Manager of Fotografiska Berlin, the producers will manage events through the entirety of their life cycle; including but not limited to pre-production, client amp; vendor liaise, event staffing, on-site execution, internal coordination, and postproduction reporting. The role sets the standard of events by managing the calendar of events, handling event bookings, creating and communicating detailed run sheets, arranging formative plans with clients and partners, and arranging logistical details. They are responsible for combining essential project management and organizational skills as well as effective use of resources to execute events from booking to completion. They must expect to manage through ambiguity and will need to be ready to support the needs of the museum.

Responsibilities:

  • Producing and managing full-cycle event and major programmatic projects with blue chip corporates, fashion brands, film companies and private clients.
  • Support the Programming Department with initial leads, client walk-throughs and support production with small-scale meetings.
  • Liaise with clients and partners to collect all pre-production event needs.
  • Communicate Event details/changes with all internal departments (Famp;B, Facilities, Operations, AV, Security, Guest Experiences).
  • Work with the Programming Department to manage the events calendar using Tripleseat: updating contacts, tracking correspondence, providing regular pipeline updates to accurately capture all event activity, etc.
  • Taking full responsibility for the success of Event Production, this role must demonstrate strength in working alongside a range of backgrounds, skills, and professionals - they must be as adept at working with hourly employees as they are with courting blue-chip clients.
  • Along with Private Events and Programming Departments prepare the weekly BEO/Function Sheet Meeting Agenda by creating events/meeting packet, summarizing event needs for the upcoming week (i.e., run of show, contracts, AV needs, security plans, floor plans p/event, etc.).
  • Collect and submit permits, event notices and COIs to building.
  • Production Assist with pre-production and execution of membership initiative events and programming events when needed.
  • Track expenses for each event + submit vendor payments and prepare monthly budget reports.

Requirements

  • 5 + years experience producing and managing full-cycle event and major programmatic projects with blue chip corporates, fashion brands, film companies and private clients.
  • Professional fluency in German and English, both written and verbal.
  • German Event Certifications are a plus (Veranstaltungsleitung, Veranstultungsmeister/in or similar).
  • Solution oriented and taking pride in the details.
  • Outstanding ability to converse with clients and members regarding Fotografiska events and our various programs and amenities.
  • Possess experience in delivering all types of events with a strong focus on guest satisfaction in a fast-paced environment, ideally in a luxury/upscale event venue, hospitality venue or hotel.
  • Flexible and proactive, responding quickly and positively to changing environments.
  • Efficient with Google Calendar/Docs/Outlook/Chrome/ Teams.
  • Knowledgeable in Microsoft Office 365 Suite including PowerPoint and Excel.
  • TripleSeat familiarity is a plus.
  • Fotografiska values diverse educational and training backgrounds in consideration of the role.
  • Possesses ability to successfully re-prioritize tasks in a moment's notice.
